Create a backdated or historical membership

Use this when you need to add a previous membership period to a member's record.

Written by Lisa Shaw

Use this for example where a membership year is missing from a member history.

  1. Find the member/contact record and select Membership

  2. Find a current or lapsed membership that matches the missing year.

  3. Select Actions > Copy as new membership.

  4. Immediately edit the copied membership plan**.

  5. Update the start and end dates to the historical membership period you are adding.

  6. Check the membership cost reflects the amount that applied for that period. It is important to set this as zero unless you have an existing payment record or will be adding one immediately.

  7. Also check and edit any other fields as required.

  8. Save the membership.

  9. Add a payment record if required. Actions > Add payment and save.

    OR

  10. To edit an existing payment select Finance and select the payment record. Actions > Edit payment details and select this membership in the Payment Regarding field.

The historical membership will now appear in the member's membership history.

** Please Note: if you have automated communications set up to trigger when memberships are created then you may need to switch off the automation while you do this step. However, if you immediately edit the copied plan then automations will not fire.
