Overview
Mid-term membership changes are a manual process in sheepCRM. The existing membership is ended at the point of change and the new membership is created for the new plan.
If the change affects the membership price, you will need to manually calculate the amount the member should pay for the remainder of their membership period.
Before you start
Confirm:
the membership plan the member is moving to
the date the change should take effect
the original membership end date
the amount the member needs to pay for the remainder of the membership period
sheepCRM does not automatically calculate a pro-rata price for a mid-term membership change.
Change the membership
Search for the member and open their current membership.
Select Actions > Edit Membership.
Set the custom end date to the date the membership is changing.
Set the renewal membership plan to the new plan they are moving to.
Save.
Select Actions > Renew Membership.
Edit the new membership as required:
check the new membership plan
set the end date so that it ends on the appropriate date
adjust the membership cost to the amount the member needs to pay for the remainder of the period
Save the membership.
If the member is paying by instalments
Before changing the membership:
Select Actions > Remove Future Payments.
Edit the cost of the existing membership to the amount already collected against that membership. This locks down the existing membership.
Follow the steps above to change the membership.
Edit the payment for the new membership and set the amount to the remaining balance due. Amend the payment dates if required.
For a 12-month membership, select Actions > Unpack Payment Plan to create the instalments based on the new membership cost.
