Export segments via Export to Excel (XLSX) using out-of-the-box fieldsets or custom fieldsets set up by you.

What are Fieldsets?

Fieldsets are sets of data fields grouped by resource type. They provide a flexible way to group, sort and export your data records via segments. A number of standard Fieldsets are readily available to you within the sheepCRM together with the option for you to create your own.

Out-of-the-box fieldsets are available for resources such as Contacts, Organisations, Groups and Events right through to Vehicles, Tickets/Bookings, Comms and Journal Notes. These can be exported against their applicable segment resource. Contact resource is our default segmentation type, however, many auto-generated segments are also membership, team, and payments resource type as well so using one of those will expose the relevant fieldset available for it.

An example would be from a contact segment when you use the action > Export to Excel (XLSX) the templates available to you will be contact-related ones, such as, Contact - All fields, or person and organisation specific ones as they are also contacts.

How do I view all available fieldsets?

Go to settings.sheepcrm.com and log in to your CRM User account, if not already.

Select General from the top navigation (green) bar.

Or simply go direct to https://settings.sheepcrm.com/core/fieldset

From there, you can click on any of the fieldsets and see what available fields are in each.


How do I create a custom fieldset?

For custom segment XLSX exports, sometimes it's better to create your own fieldset with the exact fields you want instead of using one of our out-of-the-box fieldsets available. This gives you the exact data you need without having to remove columns on the exported XLSX.

You are able to create your own field by going to the fieldset settings and clicking 'Add a field set'. https://settings.sheepcrm.com/core/fieldset.

This will open the side panel below.

  1. Add a fieldset name

  2. Add applicable resources;

    1. Generally, this will usually be contact. However, if you know you want to export against a membership segment, specifically choose membership.

    2. Please note: You can get a lot of membership data on a contact segment so this is why we advise this as the default way. But you can see whats available by looking at some of the box fieldsets.

  3. Now press Add a field

    1. You will get a similar dropdown to what you see in segments, so you can simply type to search for the field you want. See screenshot below

    2. If you toggle the View raw fields just above you will see raw field names instead of the labels.

4. Keep adding all the fields you want and then save your fieldset

How to export a segment using a fieldset?

  1. Go to the segment you want to export

  2. Actions > Export to Excel (XLSX)

  3. Choose the fieldset you just created or select an out-of-the-box fieldset from the export template dropdown.
